Inside the sheet
What the spreadsheet calculates
For each product or variant you list:
Yellow cells are your inputs; grey cells are calculated. A short plain-English reason is built in the last column so you can check each number.
- Lead-time demand: average daily sales × lead time in days
- Safety stock: average daily sales × your safety buffer in days
- Reorder point: lead-time demand + safety stock (in the UK, often called the reorder level)
- Suggested order quantity: how many to order now so stock on hand plus stock on order gets back to the reorder point
Five steps
How to use it
- Open the Calculator sheet.
- Enter one row per product or variant. For average daily sales, take the last 30 days from Shopify's sales report and divide by 30.
- Add your real lead time in days (from placing the order to stock on the shelf) and a safety buffer (3–7 days is a sensible start if you're unsure).
- Enter stock on hand and stock on order.
- Read the Action column: Order now, Watch or OK.
Example
Worked example
Made-up numbers for a fictional product.
Fig & Cedar candle, 200gworksheet
Selling about 3 a day. A 14-day lead time and a 4-day buffer give a reorder point of 54 (18 days × 3). You have 28 in stock and none on order, so you're 26 below it. Suggested order: 26.

Limits
What this sheet doesn't do
- It doesn't connect to Shopify or update itself.
- It doesn't weight recent sales more heavily or handle one-off spikes.
- It doesn't send alerts.
- It isn't Fillova. Fillova (when available) reads your Shopify store, uses your suppliers' lead times, counts stock on the way and explains every recommendation in plain English.
